How to Manage Training Records
Add a training record
Section titled “Add a training record”- Click Training in the sidebar
- Click Add Record
- Select the Person from the dropdown
- Choose the Certification category
- Add a Description of the specific course or qualification
- Set the Completed Date
- Set the Expiry Date (leave blank if the qualification does not expire)
- Optionally add the Provider name and any Notes
- Click Save
Edit or delete a record
Section titled “Edit or delete a record”From the Training list:
- Find the record (use the By Person or By Certification tab)
- Click the ⋯ menu on the record row
- Click Edit to update any fields, or Delete to remove the record
Only Admins can edit and delete training records. Members can view records.
Monitor expiry dates
Section titled “Monitor expiry dates”SteadyOn refreshes training statuses every day. Statuses update automatically:
- Records within your warning window (default: 30 days before expiry) move to Expiring Soon (Amber)
- Records past their expiry date move to Expired (Red)
You can change the warning window in Organisation Settings → Notifications.
Use the By Certification view
Section titled “Use the By Certification view”The By Certification tab shows all records grouped by certification type. This is useful for checking:
- Do we have enough current first aiders?
- Who is due for a forklift licence renewal?
- Is anyone’s emergency response training expired?
View training gaps
Section titled “View training gaps”Click Training Gaps to see a matrix of your team versus certification types. Any gap (a person who does not have a required certification) is highlighted.
Track certifications without an expiry
Section titled “Track certifications without an expiry”Some qualifications — like an industry induction card or a national certificate — may not have a fixed expiry date. Leave the expiry date blank when adding the record. The status will show as No Expiry (Blue) and will not trigger alerts.
