Tutorial 5: Track Training Records

In this tutorial, you will add training records for a team member, understand how the training BRAG works, and see how the dashboard surfaces expiring certifications before they lapse.

Time required: 10 minutes
Prerequisite: Tutorial 4: Schedule an Inspection

Under the HSWA 2015, you must ensure workers have the necessary training, knowledge, and experience to do their work safely. This includes keeping records of completed training, first aid certifications, forklift licences, working at heights training, and any other role-specific qualifications.

SteadyOn provides a central register for all training records, with automatic expiry tracking so you are never caught out with a lapsed certification.

  1. Click Training in the left sidebar
  2. You will see two tabs:
    • By Person — shows all training records grouped by team member
    • By Certification — shows records grouped by certification type

Let’s add a First Aid certification for a team member.

  1. Click Add Record in the top right

  2. Fill in the form:

Person: Select a team member from the dropdown
Certification: First Aid — select from the category list
Description: St John First Aid Certificate Level 2 — or whatever the specific course was
Completed Date: The date training was completed
Expiry Date: Set to 2 years from the completion date — St John first aid certificates expire after 2 years
Provider: St John (optional but useful for renewal)
Notes: Covers CPR, AED, bandaging, and fracture management

  3. Click Save

Each training record has a status that SteadyOn calculates automatically based on the expiry date:

StatusMeaningBRAG
CurrentExpiry date is in the future (beyond warning window)🟢 Green
Expiring SoonExpiry is within your warning window (default: 30 days)🟠 Amber
ExpiredExpiry date has passed🔴 Red
No ExpiryRecord has no expiry date — does not expire🔵 Blue

SteadyOn refreshes these statuses automatically every day, so you never have to manually check dates.

  1. Click the By Certification tab
  2. You can now see all team members who have first aid training, when it expires, and its current status

This view is useful for planning — you can see at a glance whether your required number of trained first aiders is current.

  1. Click Dashboard in the sidebar
  2. In the Today’s Focus panel, any training records with Red or Amber BRAG will appear here
  3. The Compliance Status section shows your overall training compliance score

SteadyOn can show you which team members are missing certain required certifications.

  1. In the Training module, look for the Training Gaps link
  2. This shows a matrix of people versus certification types, highlighting anyone who has a gap

You have now completed all five tutorials. You know how to:
